The Arias — the Algoma Rotary Integrated Arts Awards Show — is presented by the Rotary Club of Sault Ste Marie. This page explains what personal information we collect through this website, why we collect it, and what you can ask us to do with it.

What we collect, and why

We only collect what the site needs to do its job. That is:

  • Membership accounts. Your first and last name, email address, and password. Passwords are stored only as a salted hash — we cannot read yours, and neither can anyone who obtains the database. We also store whether you told us you live in the Algoma region, whether you asked to receive announcements, and the date, time, and IP address of your sign-up as our record that you consented.
  • Sign-in sessions. When you sign in we store a session record so you stay signed in, including the IP address and browser you signed in from. This is also how we would spot someone else using your account.
  • Info Night RSVPs. We no longer take RSVPs. If you sent one for the Info Night on Saturday, September 19, 2026, we still hold your name, email address, how many people were attending, and the IP address the RSVP came from. We used it for a head count and to send you the details of the event.
  • Analytics. Only if you agree. We ask before anything is tracked, and Google Analytics is not loaded at all unless you say yes. If you do, it records pages viewed, approximate location derived from your IP address, and basic device and browser information. We do not use it to identify individuals. You can change your mind at any time using the cookie settings link in the footer.
  • Server logs. Our hosting provider records requests to the site, including IP addresses, as part of running and securing it.

Email we send you

There are two kinds, and they are treated differently. Account email — confirming your address, sign-in codes, password resets — is part of the service and is sent whenever you use those features.

Announcements — nominee news, deadlines, show updates — are only sent if you asked for them. That box is never ticked for you, and you can unsubscribe at any time. Unsubscribing does not affect your membership, and it does not stop account email, because you still need to be able to sign in.

Who else handles your information

We do not sell your personal information, and we do not share it for anyone else’s marketing. We use a small number of service providers to run the site, and they process information only on our instructions:

  • Vercel Inc. hosting and delivery of this website
  • MongoDB, Inc. (Atlas) the database that stores accounts and RSVPs
  • Twilio Inc. (SendGrid) sending the email described above
  • Google LLC website analytics

These providers may store or process information on servers outside Canada, where it can be subject to the laws of the country it is held in.

We may also disclose information if the law requires it, or to protect the rights and safety of people involved in the awards.

Cookies and browser storage

  • Sign-in cookie. Set when you sign in and required for the site to know it is you. The site cannot keep you signed in without it.
  • Theme preference. If you switch between the light and dark themes, that choice is saved in your own browser’s local storage. It is never sent to us.
  • Your cookie choice. Whether you agreed to analytics is saved in your browser’s local storage. We use local storage rather than a cookie so that nothing is written at all until you decide.
  • Analytics cookies. Set by Google Analytics, and only after you agree. Decline and none are set. You can change your answer at any time with the cookie settings link in the footer, and the site works the same either way.

How long we keep it

Member accounts are kept while the membership is active. RSVP records are kept for the event they relate to and for a reasonable period afterwards so we can follow up. Server logs and analytics are kept according to our providers’ standard retention periods.

You can ask us to delete your information sooner. See below.

Your choices

Under Canadian privacy law you can ask us to:

  • Show you what personal information we hold about you
  • Correct anything that is wrong or out of date
  • Delete your account and the information attached to it
  • Stop sending you announcements, at any time

Email info@thearias.ca and we will respond. You can also unsubscribe from announcements using the link in any of them.

Children

Membership is only open to people 18 or older, and we ask you to confirm that when you sign up. We do not knowingly hold account information about anyone younger.

Everything else on the site is open to all ages — you can come to the show at any age.

If you are a parent or guardian and believe a child has given us personal information through this site, email info@thearias.ca and we will delete it.

Changes to this policy

If we change what we collect or how we use it, we will update this page and change the date at the top. Material changes will also go to members by email.
